Events

Find a ride and sign up, or organise your own: the event's details and programme, its GPX and roadbook files, signups you confirm yourself, and on the day a live dashboard with every rider on the map. Riders get the files in their DMD app, and follow the event live in DMD2.

Going to an Event

An event's page: Dolomites Adventure Weekend with its dates, organiser and the All Events, I'm Going and Live dashboard buttons, then Attendance & Calendar with I'm Going and Add to Calendar, comments, and the When & Where card

An event's page. The organiser also sees Live dashboard.

Events in the top bar lists every approved event. An event's page shows its dates, the organiser, the description, where and when, and badges such as Happening now, Today, Tomorrow, Ended and You rode it.

  • I'm Going puts it on your calendar (signed out: Sign in to attend);
  • Add to Calendar adds it to Google or Apple Calendar;
  • Share this event, Copy link and Embed this event for a website.
Registering

When the organiser runs signups on the HUB, Register for this event opens the organiser's form; Submit registration sends it. The page then says You're registered for this event, or that your registration is awaiting the organizer's confirmation, or that it was not approved. Cancel signup withdraws it. Other events link to the organiser's own signup page, email or phone.

Programme & navigation

Programme lists the event's points with their times (Be here by) and Open in maps. Navigate in DMD2, Navigate (Phone) and Google Maps take you to the start.

Event files

The GPX files and roadbooks that come with the event are included with registration: they are delivered to your DMD app once your signup is confirmed. Until the organiser opens them they show Locked; then Get file or Download.

The public live page

During a Live Event, anyone with the link to its live page follows it without signing in: riders by first name and initial, announcements, regroup pins, the route and a Timeline. After the event the page keeps its memories: how many riders rode it, the kilometres ridden together and how many finished safe.

Your Calendar

In Events, the Calendar tab (My Calendar) lists the events you are going to: Public Events, and Group Events from your riding groups with View in Group. Past events say Past Event; the ones you rode carry Rode it and a Memories link. Not Going takes one off, and Browse Events finds more.

Your Events

Events in the account: the Events and Calendar tabs, a search box, and three events, one Approved with View, Manage Signups, Live, Edit and Delete, one Pending Approval and one Approved and Hidden

Your events, with their status and buttons.

The Events tab lists the events you created, each with its dates and status:

  • Approved or Pending Approval — events are listed once approved, so make sure yours respect the community standards;
  • Hidden — not listed anywhere; only people with the link see it.

The buttons: View (approved events), Manage Signups with the number waiting, Live for the live dashboard, Edit and Delete.

Creating an Event

New Event, step 1 of 6 (Essentials, When & where, Description, Images, File Links, Review): Event Title, the Signup Required switch, the I'm going to my own event switch and the Short Description

New Event — one step at a time, with Next and Cancel at the bottom.

New Event walks you through the steps shown across the top: Essentials, When & where, Description, Images, File Links and Review. When you edit an event later you can jump between them.

Every new event waits for approval. Editing an approved event (Edit Event, Save Changes) keeps it approved.

Essentials

Event Title, Signup Required, I'm going to my own event (you count among the riders going, and it sits in your Going list), the Short Description, the Vehicle Types and Event Type, the Continent, Country and State, and Hidden: a hidden event is not listed on the HUB or in the DMD apps and your followers are not told about it.

How people sign up

With Signup Required on, choose Signup URL, Email or Phone (yours), or HUB Managed Signups: confirm each rider by hand or automatically, set a Capacity (blank is unlimited), choose which standard fields the form asks (full name, email, phone, address; each optional or required), and add Custom questions (short text, yes/no or a dropdown). Payment is information only — none, payment instructions and a link shown at signup, or details you email after signup.

When & where

Start Date and Time and End Date and Time, an Organization Phone Number, the Start Coordinates (click the map, Roads or Satellite) and the Event Start Address.

Description & images

A Youtube Promo Video URL, a Website and the Detailed Description; a Logo Image (required) and a Secondary Image, JPG or PNG up to 2 MB.

The Live Event settings and the Event points of the programme are in the same form; see Live Event: the Organiser's Side.

File Links

File Links gives your riders the event's files in their DMD app. Add File Link opens Add a File Link:

  • File type: GPX, Roadbook or Roadbook PDF;
  • pick the file from your GPX Files or Roadbooks, or upload one here (a GPX goes into your GPX Files; a PDF, up to 50 MB, into your roadbook PDFs);
  • a Label, and the Share settings: Available from, Access expires, Link expires and Max collections.

Confirmed attendees receive the files automatically — locked, kept in sync with your copy and revocable. Each row says how many riders collected it, with Copy link, Edit, Replace (PDF) and Remove.

Managing Signups

Signups: counters Going 3, Waiting for you 2, Not approved 1; the Attendees list with All, Waiting, Going and Not approved filters, CSV and refresh; a rider marked Going with Reject, one Not approved with Confirm anyway, one Waiting for you with Confirm and Reject

Signups — confirm, reject or remove each rider.

With HUB Managed Signups, Manage Signups opens Signups: counters for Going (of your capacity), Waiting for you, Not approved and, when you take payment, Paid.

Filter the Attendees by All, Waiting, Going or Not approved, export them with CSV, and Confirm (or Confirm anyway), Reject or Remove each one. Mark payment as Unpaid, Paid or Waived. Before anyone signs up, the page gives you the event's link to share.

Live Event: the Organiser’s Side

Live Event comes with every event on the DMD HUB website: on the day, your riders share where they are and how they are doing from DMD2 or the DMD HUB app, and you run the event from the website. In the event's form, the Live Event section has the switch (on by default) and the window: how long before the start it opens (up to 12 hours) and how long after the end it closes (up to 24 hours). Switching it off, at any time, ends live sharing for everyone on the event.

Under it, Event points holds the programme: a map with every point, and the list. Add a point, pick its kind, give it a title and a description, and click the map where it is (drag the point to move it). Then, all optional: its date and time (the time at the event, in the event's time zone), a reminder for the riders from 5 minutes to an hour before, Riders must be here by this time, and when it Shows. You see every point there, the ones not showing yet included. A Finish point is the event's finish.

Event points in the event's form: the point on the map, the sixteen kinds with their icons, the title, description, place, date and time, a 30 min reminder, Riders must be here by this time, and Shows from the event's start

Editing a point in the event's form.

During the event, you and your admins run it from the live dashboard, opened with Live in your events list or with Live dashboard on the event's page:

  • the map with every rider, coloured by state and with their speed, the regroup pins, the event points (faded until they show) and the event's route, with Map / Sat, Relief and 3D. Riders close together show as a bubble with their number (amber when one of them needs a hand; a rider in SOS always shows alone). Click a rider to follow them on the map;
  • Riders: the roll call with state, last seen, battery, speed and where each rider is along the route (kilometres done and the next event point), filtered by state and sorted by name or along the route; Select sends one message to several riders;
  • Board and Messages, as in the app, with the riders' photos on the Board (delete any post there, its photo too);
  • Crew: admins and riding roles for any HUB member, found by their e-mail address, and your own number for the riders;
  • Settings: the event points (Edit event points opens the same editor) and the public live page (on unless you switch it off) with what it shows — riders, announcements and regroup pins, the Timeline of the riders' messages and photos (only from riders who chose it), the event points, the route (never before its files unlock) — and its link.

An SOS or a Need a hand sounds and shows on top of the dashboard the moment it arrives.

The live dashboard on the website: the map with the riders and the route, an SOS alarm on top, and the Riders roll call

The organiser's live dashboard, with an SOS alarm.

When the time of a Be here by point comes, the Riders tab says how many riders are not there yet. A rider is there once their shared position came within 150 m of the point; riders who left or finished are not counted. Select them picks them for one message, “Lunch at Casa do Marão was at 13:00. Are you on your way?”, for you to change and send: nothing goes out by itself. Only the latest Be here by point is shown, so on a two-day event the first morning's start line does not stay there.

The live dashboard during the event: the event points on the map with the riders, and above the roll call: Lunch at Casa do Marão, 13:00: 2 riders not there yet, with Select them

Two riders are not at lunch yet.

In DMD2

Events you are going to, and their files, are in DMD2 and the DMD HUB app. Riding an event live — joining it, your state, SOS, the Board, the crew and Finish safe — is in the DMD2 manual's Live Event chapter, and an event's roadbook opens in the Roadbook section.
